Documents and e-invoices

Manage e-invoices and documents locally

Since version 1.3.11 FinanceCounter has its own documents area: store invoices, receipts, bank statements and e-invoices in XRechnung or ZUGFeRD format locally, find them and link them to transactions.

At a glance

At a glance

  • PDF, JPEG, PNG and XML
  • XRechnung (UBL and CII), ZUGFeRD/Factur-X
  • Status open, paid, overdue
  • Due-date reminder 1, 3 or 7 days ahead (Premium)
  • Free: up to 20 documents, e-invoices as preview

Why e-invoices need a proper home

More and more invoices arrive as structured files instead of plain PDFs: as XRechnung, which consists only of XML data, or as a ZUGFeRD or Factur-X PDF with embedded data. A pure XML file is hard for people to read without the right software. FinanceCounter turns it into a clear invoice view – right on your phone.

What FinanceCounter reads from an e-invoice

  • Seller and buyer
  • Invoice number, invoice, delivery and due dates
  • Currency, net, tax and total amounts
  • Bank details and payment reference, where provided
  • Line items with quantity, unit, price and tax rate

Supported are XML e-invoices in UBL and CII format – both XRechnung syntaxes – and PDF invoices with embedded XML following ZUGFeRD/Factur-X. The app checks the file structure but does not replace formal EN 16931 validation or accounting software.

The documents area

In the “Documents” tab you store PDF, JPEG, PNG and XML files as invoice, till or purchase receipt, credit note, e-invoice, bank statement or other. You search by merchant, invoice number, file name or note, filter by type and see the status of invoices as open, paid or overdue. When importing, FinanceCounter flags possible duplicates. In the Free version you can preview e-invoices; keeping them permanently requires Premium.

The app suggests matching transactions based on amount, date and merchant; nothing is linked until you choose. Deleting a document never deletes a transaction. You can export individual original files at any time – in the Free version too.

Premium for invoice archives

  • Archive e-invoices permanently (preview also in the Free version)
  • Unlimited documents instead of 20
  • Local due-date reminder 1, 3 or 7 days before an open invoice is due
  • Batch export as ZIP with year and type folders, JSON metadata and optional CSV – filterable by year, period, project, private/business and type

Privacy for documents

Documents and the data read from them stay in the app’s private storage. They are never uploaded, are part of your encrypted backups and can be deleted individually. Tip: invoice reminders can show merchant and amount – with the app PIN enabled or amounts hidden they stay neutral.

FAQ

Common questions

Can I export my data?

Yes. CSV export of your transactions, the full data export and exporting single original documents are included in the Free version. Premium adds PDF reports, project reports as CSV, PDF or Excel and batch export of documents as ZIP with JSON metadata and optional CSV. Exports are not encrypted – the backup is.

Can FinanceCounter read e-invoices?

Yes, since version 1.3.11. FinanceCounter reads XML e-invoices in UBL and CII format (both XRechnung syntaxes) and PDF invoices with embedded XML (ZUGFeRD/Factur-X) locally. The app checks the structure but does not replace formal EN 16931 validation. A preview works in the Free version; archiving is Premium.

Are there backups?

Yes. Backups are encrypted with your password (at least 12 characters) using AES-256-GCM and include transactions, receipts, attachments and documents. Manual backups are included in the Free version; automatic daily or weekly backups to a folder you choose come with Premium. A backup cannot be restored without its password. Restoring requires an active Premium subscription or trial.
